## Overview

The **Technician Dashboard** is the garage manager's command center — one page that shows how your mechanics are performing, how dialed-in your shop's time estimates are, and whether your labor budget is tracking. If you run a garage full of technicians, this is the page you'll open every morning to answer the questions you keep asking: who's crushing it, where are we losing time, and are we over or under on labor spend?

The dashboard is built entirely from **completed work orders** in the date range you select at the top of the page. **Nothing on this page is forecasted or estimated by EKOS** — every number is calculated from work your techs actually finished.

## What the Dashboard Shows

### The Four Top Stats

Across the top of the page, four stats give you the headline read on the period:

- **Team Efficiency Score** — an overall percentage showing how your team's actual time compared to estimated time across all completed work orders in the range. 100% means you're landing right on estimate. Higher is better; it means your team is finishing work faster than the book says.
- **Completed Work Orders** — the total number of work orders your team closed in the range.
- **Total Actual Hours** — the sum of actual labor hours logged across every completed work order.
- **Average Cost Per Work Order** — total work order cost divided by the number of completed work orders. A quick read on how expensive the average job is.

### Performance Leaderboard

The **Performance Leaderboard** ranks your technicians. Each row shows one tech with their work order count, average time per work order, cost per work order, total estimated vs. actual time, and an efficiency percentage.

The toggle at the top of the leaderboard lets you re-sort by what matters most to you:

- **Efficiency** — who's fastest against the estimate
- **Work Orders** — who's closing the most jobs
- **Cost Per Order** — who's running the lowest average cost

Efficiency here is calculated the same way as the team score, but per tech: estimated time across their completed work orders, divided by actual time. A tech at 94% is consistently finishing a little slower than the estimate; a tech at 110% is consistently beating it.

### Service Item Efficiency

The **Service Item Efficiency** panel is less about judging your team and more about auditing your own estimates. Each row is a service item (Oil Change, Tire Rotation, State Inspection, etc.), with the estimated minutes, the actual average minutes your techs are logging, and a percentage.

Two toggles at the top let you slice this:

- **Beating Estimates** — jobs where actual time is consistently under the estimate. These might be jobs your shop is genuinely good at *or* jobs where the estimate is too generous and should be tightened up. If every single tech is finishing a "1 hour" oil change in under 30 minutes, that's a sign the estimate needs to be dialed in.
- **Needs Attention** — jobs where actual time is consistently over the estimate. These are the tasks worth investigating: training gaps, tooling problems, parts availability, or estimates that are unrealistically tight.

This panel is how you turn a messy shop into a measured one. Over time, you'll tune your service item estimates, and then every other number on the dashboard gets sharper.

### Labor Cost Efficiency

The **Labor Cost Efficiency** card at the bottom turns efficiency into dollars. For the date range selected, EKOS compares:

- **Estimated Cost** — what the labor *should* have cost if every job landed on estimate (estimated minutes × labor rate, summed across all completed work orders)
- **Actual Cost** — what the labor *actually* cost (actual minutes × labor rate, summed the same way)

The difference is your **Financial Impact of Efficiency** — a single dollar figure with either a "saved" or "over budget" label. If your team's averaging 15 minutes over on every oil change and you budgeted $3,500 for oil changes in the period, this card will show you exactly how much that added up to in real dollars.

## The Date Filter

At the top right of the dashboard, you can scope the view to **Last 30 Days**, **Year to Date**, or **Last 12 Months**. The filter applies to every card on the page, and it only looks at work orders that were **completed** within that range. Work orders that are still open, on hold, or in progress aren't included — this is a finished-work view.

## Before the Dashboard Will Show You Anything

The Technician Dashboard is completely dependent on your team using **service items** on work orders. If you're not using service items, or if your service items don't have estimated times, the dashboard will show an empty state.

Here's what has to be in place for the dashboard to light up:

### 1. You need service items with estimated minutes

A **service item** is a task performed in the garage — an oil change, a battery replacement, a tire rotation, a state inspection, and so on. Service items are the building blocks of everything on this dashboard.

To create a service item, click the **Work Orders** icon in the top navigation and select **Create Service Item** (or go to the **Service Item Grid** and create one from there).

When you set up a service item, the **Estimated Minutes** field is the one that matters most for this dashboard. That's your **standard repair time** — how long this task is supposed to take under normal conditions.

> **This is the critical piece.** If your service items don't have estimated minutes, EKOS has no benchmark to compare actual work against — and without that comparison, efficiency percentages, financial impact, and service item performance cannot be calculated.

### 2. You need to add service items to work orders as line items 

When a tech works a job, they should add the service item to the work order as a line item — essentially saying *"on this work order for vehicle #123456, I performed an oil change."*

 On that line item, you’ll capture:

- The **technician** who did the work
- The **labor rate**
- The **actual minutes** it took

When work orders are built this way, EKOS has everything it needs: the estimated time (from the service item), the actual time (from the line item), the labor cost, and who did the work. That's what fuels every card on the dashboard.

If your team is logging hours in free-text notes or lumping labor into a single catch-all line, the dashboard won't be able to reconstruct the story — service items as line items are the only way this works.

## Why Your Dashboard Might Be Empty or Missing Data

If the dashboard is showing zeros or blank cards, work through these in order:

- **No service items created yet.** Start there — nothing else matters until service items exist with estimated minutes.
- **Service items exist but estimated minutes are blank or zero.** Efficiency math requires an estimate to compare against. Go back and fill in the standard repair time on each service item.
- **Your team isn't adding service items as line items on work orders.** If techs are logging work as free-text notes or a single blanket labor line, EKOS can't map that back to a service item. Coach the team on the line-item workflow.
- **No work orders completed in the selected date range.** The page only looks at completed work. Try widening the date filter to Last 12 Months to see if data shows up.
- **A specific tech is missing from the leaderboard.** They only show up if they're attached to a completed service item line in the date range. New hires, techs on leave, or techs who haven't been assigned to jobs this period won't appear.
