## Overview

The **Vehicle Cost and Utilization Report** is the most comprehensive per-vehicle view in the Report Portal — it brings cost data and utilization data together in one report, so you can see not just what a vehicle cost you, but what you got out of it. For each active vehicle in a date range, it rolls up distance, fuel spend, parts and labor (internal and external), maintenance hours, out-of-service hours, and calculated metrics like cost per mile.

It's the report to pull when you're evaluating whether to keep, replace, or reassign a vehicle — and the one your finance team will want when they're building the next budget cycle.

## How to Get Started

From the **Report Portal**, run the **Vehicle Cost and Utilization Report**. Pick your date range and export.

> **Note:** this report is available as **CSV export only**. Because it pulls so many columns per vehicle, PDF isn't a practical format — plan to work with it in Excel or another spreadsheet tool.

## What the Report Shows

For each active vehicle in the date range, the report brings together:

- **Distance travelled** — miles (or kilometers) driven
- **Fuel cost** — total spent on fuel during the period
- **Internal parts and labor** — in-house maintenance spend
- **External parts and labor** — sublet or vendor spend
- **Total cost** — combined maintenance and fuel spend
- **Cost per mile** — the normalized metric that makes vehicles comparable
- **Work order count** — how many jobs hit the vehicle in the period
- **Total maintenance hours** — shop time across all work orders
- **Total out-of-service hours** — time the vehicle was down and not earning

Because every meaningful cost and utilization metric lives in one row per vehicle, this report is uniquely powerful for fleet analysis.

## Filtering and Exporting

From the Report Portal, you can:

- **Filter by date range** to match any period you need to analyze.
- **Export as CSV** — the only supported export format for this report.

## Automating Delivery

If finance or fleet leadership tracks cost and utilization on a recurring basis, use the schedule icon on the report card to automate delivery. Pick your frequency, choose recipients, and EKOS will email or FTP the CSV on schedule.
