# Department Manager

The **Department Manager** page allows you to view, manage, and organize all departments within your organization. This tool helps you monitor vehicles, drivers, and fuel cards tied to each department, ensuring clear visibility and control over your fleet operations.

## Key Metrics at a Glance

At the top of the page, you’ll see quick insights into your organization’s activity:

- **Active Departments** – The total number of departments currently in use.
- **Active Vehicles** – The number of vehicles assigned across all departments.
- **Active Drivers** – The total number of drivers linked to your departments.
- **Active Cards** – The number of active fuel cards associated with your fleet.

## Department Table

Below the summary, the table provides a detailed breakdown of each department. Columns include:

- **Description** – The name or identifier of the department.
- **Budget Code** – The assigned budget or accounting code for that department.
- **Department Levels (1–3)** – Hierarchical categorization of departments (e.g., County, Division, Section).
- **Active Vehicle Cards** – How many fuel cards are tied to vehicles in that department.
- **Active Vehicles** – Number of vehicles currently assigned.
- **Active Drivers** – Number of drivers associated with the department.
- **Active** – Indicates whether the department is currently active.

Use the **View** button beside each department for more detailed information.

## Filtering & Navigation

- You can filter records by entering keywords into the fields under each column header (e.g., Budget Code, Department Level).
- Navigate between pages at the bottom of the table to view all departments.

## Adding a New Department

Corporate Admin users have the ability to add and update departments within EKOS. Before adding your new department, be sure that you’ve selected the appropriate parent department in the left department selector of the department management screen. Once you have chosen the correct Parent Department, complete the form to add a new department OR select any currently existing department to update it.

To add a new department:

1. Click the green **+ Add Department** button in the top right corner.
2. Fill in the required department details (e.g., Description, Budget Code, Department Levels).
3. Save your changes to make the department active.

> ✅ **Tip:** Use departments to organize your vehicles and drivers by location, budget, or operational unit. This ensures cleaner reporting and easier fleet management.

# Department View Page

The Department View page will show you key stats and transactions in your selected department. View the department hierarchy, and department breakdown showing the number of cards, drivers, and vehicles in that department. You can also view transactions by date showing the number of gallons, transactions, and dollars. This grid view can be filtered and changed by sub departments, cards, drivers, vehicles, and audit. You also have the ability to view any attached files.

You can also easily edit your department from the upper right hand corner by clicking the “Edit Department” button. Then you can edit the parent department, description and budget code.
