# Service Manager

The service manager screen shows the entire WORKFLOW of service/repair including all Tickets that can be matriculated into the Invoice stream. Each stage of the workflow can be clicked on to filter the grid section below. As you change the status of a ticket or order the stats in the stage boxes will update with a current count of orders at that stage.

*Tickets*

The Ticket Stage shows all of your active service tickets in EKOS. From the grid you can click on the convert to Service Order so you can advance the ticket to a service order and dispatch it to a service company. Tickets need to be verified to make sure that there really is a valid issue. Once their validity is confirmed then check to make sure if the equipment is under warranty. If it is, then you can immediately convert it to a service order. If your organization requires a quote from a service company or confirmation on hourly rates, mileage, fees, etc… then a next action will be to get the quote in hand as soon as possible so you can dispatch the service order.

*Service Order*

The Service Order Stage shows all of the open service orders you have in EKOS. If a service order is still in this stage then it has not been dispatched to a service vendor. Ideally there would not be many in this stage. Dispatching the service order to a service vendor is the next step. You can dispatch the order form the grid of you can click on the view icon and from the view page of the order you can dispatch it to a service vendor.

*Dispatched*

The Dispatched Stage shows all of the service orders in EKOS that you have already dispatched to a service vendor. If the dispatch was rejected by the service vendor you sent it to you then you can leave the service order in this stage until you dispatch it again. Alternatively, you can move the service order back to the “service order” stage while you are trying to re-dispatch the order to a new vendor. Setup your business rules so you can use EKOS effectively across your team. After the service order is dispatched you will be communicating with the service vendor to find out when they are scheduled to go to your site to fulfill the service order. The EKOS Service Desk can also help you by providing Service Order dispatching and they will facilitate getting a certified vendor to your site and coordinate the entire service order process all the way to providing you a consolidated invoice.

*In Progress*

The In Progress Stage shows all of the service orders where the service vendor is doing the work at your site. The status must be updated to “In Progress” by your team as you communicate with the service vendor. If you use the EKOS Service Desk to help you facilitate the process of the service order then they will update the status for you. If the vendor is taking several days or the service order is essentially at a “hold” status then you can leave it in this stage. The next action is to confirm that the work is complete with the service vendor.

*Work Complete*

The Work Complete Stage shows all of the service orders that you have updated the status to show the work is complete after you have communicated with the service vendor. A good practice is to confirm that the service order is complete by verifying the technician’s work. It is also normal course to let service orders sit in the Work Complete stage while the work is being evaluated for several days. Entering the Service Vendors invoice will be the next action since the work in complete. To enter a service invoice, you can click the icon in the grid or you can view the service order and click the button to Enter an Invoice.

*Invoiced*

The Invoiced Stage is the final stage in the workflow and shows all of the service orders that have invoices in the past 30 days. Once a service invoice is more than 30 days from its completed date you will be able to find that invoice in the service invoice grid, which shows all invoices and has a date range selector. Congratulations! Getting invoices to this stage is the goal.
