## Overview

Running a fleet means pulling a lot of different numbers — vehicle costs, maintenance history, fuel spend, parts usage, billing, and more. Instead of hunting through the system every time you need a specific view of your data, the Report Portal puts every report in EKOS in one place, organized by module and category, with a few easy ways to narrow down to exactly what you need.

From the Report Portal, you can run a report on demand, view it inside EKOS, export it as PDF or CSV, schedule it to automatically go out to your team on a recurring basis, or save your most-used reports to your Favorites for quick access later.

This page walks through how the Report Portal is laid out and everything you can do from it.

## Accessing the Report Portal

From the top navigation bar, click the **Reports** icon. In the dropdown, select **Report Portal**.

You can also access the Report Portal from the main EKOS landing page. Click the “Reports” button in the left sidebar.

## Finding reports

Once inside the report portal, the left sidebar gives you several ways to quickly narrow down to the report you need.

### Search by name

Use the search bar at the top of the sidebar to look up any report by name. Results update as you type.

### Filter by module

If your organization has multiple modules (for example, Fleet, Fuel Sites, Bulk Fuel, Fuel Cards, or EV), a button for each module appears in the sidebar. Click a module button to show only reports from that area. Click **All Reports** to see every report across all modules.

### Filter by category

At the bottom of the sidebar, report categories are listed as clickable labels. You can select one or multiple categories to narrow the report grid.

## Understanding a Report Box

Each report is represented by a report box in the main grid. Every box gives you a quick read on what the report is and what you can do with it, all without opening it.

Each box shows:

- **Report name **— the name of the report.
- **Description** — a short summary. Hover over the description to see the full description of what that report does.
- **Category pill** — a small colored label showing the report’s category (for example, Vehicles & Assets or Maintenance).
- **Export formats** — indicators showing how the report can be exported.

In the bottom-right corner of each report box, you’ll find two icons:

- A download icon — for running, viewing, and downloading the report.
- A “schedule report” icon — for scheduling the report to go out automatically on regular intervals.

## Downloading and Viewing Reports

To run a report, hover over the download icon in the bottom-right corner of the report box.

A small pop-up will appear with the available file formats (for example, PDF and CSV). Hover over the format you want, and you’ll be given two options:

- Download — downloads the report straight to your computer.
- View — opens the report inside EKOS in an embedded frame, so you can preview it without leaving the app.

Use View when you just need a quick look, and Download when you need a copy to share, save, or attach to something else.

## Scheduling Reports

The calendar icon in the bottom-right corner of each report box lets you set up a report schedule. Schedules let you send a report to certain people on a recurring basis — daily, weekly, monthly, or whatever interval fits your workflow — without having to remember to run it yourself.

### Creating a Report Schedule

Click the calendar-with-clock icon on the report you want to schedule. This opens Manage Schedules for that report, where you can see any existing schedules and add a new one.

To add a new schedule, click Add New Schedule and fill in the following:

- **Name **— a clear name for the schedule (for example, Weekly Maintenance Summary — Ops Team).
- **Frequency **— how often the schedule should run (daily, weekly, monthly, etc.).
- **Date Range **— what date range of data to include in the report.
- **Start date** — the first date the schedule should run.
- **End date (optional) **— leave blank to run indefinitely, or set a date to stop the schedule automatically.
- **File format** — choose CSV or PDF.
- **Delivery method** — choose whether the report is emailed to your saved EKOS users or sent to an FTP destination.
- **Recipients **— if you chose email, pick which users should receive it.

### Applying Filters to a Schedule

If the report supports filters (for example, by department), you can apply those same filters inside the schedule. That way, a single report can power multiple schedules — each one scoped to a different team or slice of your data.

### What Happens Next

Once the schedule is saved, EKOS takes it from there. The report will automatically run and be sent out on the interval you set, to whoever you selected, in the format you chose — no manual work required.

## Favorite Reports

If there are reports you use all the time, you can save them to your Favorites for one-click access.

To favorite a report:

1. Hover over the blue file icon on the left side of the report box.
2. A star icon will appear.
3. Click the star to add that report to your Favorites.

To see all of your favorite reports, click the Favorite Reports menu item in the top left. This view shows every report you’ve starred, so you can jump straight to the ones you use most without having to search or filter.

The Report Portal is your home base for every report across every module in EKOS. From here you can:

- Find reports by name, module, or category
- View a report inside EKOS or download it as PDF or CSV
- Schedule recurring reports to go out by email or FTP
- Save your most-used reports to Favorites
