# Fleet Snapshot Dashboard
Fleet Snapshot helps you answer simple questions about your fleet without digging through Asset Manager one record at a time:
- How many assets do we have?
- How many are vehicles vs equipment?
- Which makes and types make up most of the fleet?
- Which departments have the most assets?
This page is a **composition snapshot**. It shows how your fleet is built today — not costs, fuel, or maintenance due dates.

## What’s on the page
The dashboard is split into four sections. You can customize **types** and **departments**, but **asset categories** are fixed. Makes appear based on what is assigned to your assets.
1. **Asset Categories** — totals for Vehicles, Equipment, and Other Assets
2. **Vehicle Makes / Equipment Makes** — top manufacturers in each group
3. **Asset Types** — how assets break down by type (Pickup, Sedan, Van, and so on)
4. **Department Breakdown** — how assets are assigned across departments

## Asset Categories
At the top of the page, you’ll see a quick count of your fleet.
| Count | What it means |
| --- | --- |
| **Total Assets** | All active assets tracked in EKOS |
| **Vehicles** | Active assets marked as vehicles |
| **Equipment** | Active non-vehicle equipment |
| **Other Assets** | Active assets that are neither vehicle nor equipment |
> ⚠️ **Important:** Asset categories are fixed in EKOS. You cannot add, rename, or change **Vehicle**, **Equipment**, or **Other Asset**. When you create an asset, you choose one of these three options, and that choice feeds the totals on this page.
> ℹ️ **Important:** Fleet Snapshot only counts **active** assets. Assets that are in an inactive status or deleted assets will not be included in this dashboard.
Use this section to quickly confirm:
- Your overall fleet size
- Whether most of your inventory is vehicles or equipment
- Whether “Other Assets” is larger than expected (sometimes records are categorized incorrectly)

## Vehicle Makes and Equipment Makes
These two cards show which manufacturers appear most often in your fleet.
### Vehicle Makes
Lists the top vehicle manufacturers, such as Ford, Chevrolet, or Dodge.
### Equipment Makes
Lists the top equipment manufacturers the same way.
Makes appear on Fleet Snapshot based on the makes assigned to your active assets. If a make is not assigned to any active vehicle or equipment, it will not show a count here.
For each make, you’ll see:
- **Make name**
- **Unit count** — how many active assets of that make
- **Percentage** — that make’s share of your **total active fleet**
Makes are sorted from highest count to lowest. Each list shows up to the **top 10**.

## Asset Types
The Asset Types chart shows what *kinds* of assets you have — for example Sedan, Pickup, Van, or other types your organization has set up.
This is different from **Asset Category**:
- **Category** = Vehicle, Equipment, or Other Asset
- **Type** = the more specific kind of asset (Pickup, Sedan, Mower, and so on)
The donut chart shows the top asset types by count. The center total helps you see the overall vehicle-type mix at a glance.
Use this section to answer questions like:
- Are we mostly pickups?
- Do we have more vans than sedans?
- Does our type mix match the work our departments actually do?
If a type looks wrong or missing, check the asset record in Asset Manager.

## Department Breakdown
This section shows how active assets are assigned across departments.
For each department, you’ll see:
- **Department name** (for example Highway, Park Commission, Sheriff)
- **Asset count**
- **Percentage of the total fleet**
- A progress bar showing that department’s share
Departments are listed from largest to smallest.
This is a good place to ask:
- Does one department hold most of the fleet?
- Do the counts match how we actually operate?
- Are any departments under- or over-assigned compared to their workload?
Uneven department counts are not automatically a problem. Use this as a conversation starter, not an automatic red flag.
## Managing types and departments
Unlike asset categories, **asset types** and **departments** are managed by your organization.
### Asset Types
Go to **Vehicle Types** in the Fleet menu to add or update types (for example Pickup, Sedan, or Van). Then assign the type on each asset in Asset Manager. Those assignments are what fill the Asset Types chart.
### Departments
Go to **Manage Departments** in Fleet to add or update departments, or use **Create Department** to add a new one. Assign a department on each asset record. Fleet Snapshot then groups active assets by those department assignments.
### Makes
Makes show up here based on what is already assigned to your assets. To change what appears, update the make on the asset in Asset Manager (and manage available makes under **Vehicle Makes** if needed).

## How to use Fleet Snapshot
Think of this page as a quick health check on fleet structure.
1. **Confirm your totals**
Look at Total Assets, Vehicles, Equipment, and Other Assets. If those numbers don’t match what you expect, start by checking inactive assets and asset categories.
2. **Check brand concentration**
If one make owns a large share of the fleet, note it. That can affect parts stocking, shop familiarity, and future purchasing.
3. **Review the type mix**
Make sure the kinds of assets you have still match the work being done. A fleet full of pickups may be perfect — or it may mean you need more vans, depending on your operation.
4. **Compare departments**
Use the department list to see where assets live. If a department looks oversized or undersized, dig into Asset Manager for that department next.
5. **Use it for planning conversations**
Fleet Snapshot won’t tell you what to buy or dispose of by itself. It gives you clean composition facts so those discussions start with numbers, not guesswork.

## What this page does not show
Fleet Snapshot is intentionally simple. It does **not** show:
- Fuel spend or cost of ownership
- Maintenance due dates or PM reminders
- Outliers or high-cost vehicles
- Date-range filtering
- Inactive or disposed assets
For cost comparison, use the **Asset Analysis **page. For maintenance due work, use the **Repair Dashboard**. For individual records, use **Asset Manager**.

## FAQ
Why don’t I see some of my assets?
Fleet Snapshot only includes **active** assets. If a unit is inactive or no longer in service, it won’t appear in these counts.
Why are only some makes or types listed?
The makes and types sections focus on the **top 10** by count. Smaller groups may still exist in your fleet, but they won’t always appear on this dashboard.
What’s the difference between category and type?
**Category** is the broad bucket: Vehicle, Equipment, or Other Asset.
**Type** is the more specific label, like Pickup, Sedan, or Van.
Can I filter by department or date range?
Not on this page. Fleet Snapshot always shows your current active fleet composition.
Does this dashboard include cost or mileage data?
No. This page is about fleet makeup only — counts, makes, types, and departments.
Where do I change an asset’s category, make, type, or department?
Open the asset in **Asset Manager** and update the asset record. Changes there will be reflected on Fleet Snapshot after the data refreshes.
Can I add or rename asset categories?
No. **Vehicle**, **Equipment**, and **Other Asset** are built into EKOS and cannot be added, renamed, or changed.
How do I add a new asset type or department?
Use **Vehicle Types** to manage types, and **Manage Departments** / **Create Department** to manage departments. After that, assign them on the asset records in Asset Manager.
Why don’t I see a make on this page?
Fleet Snapshot only shows makes that are assigned to active assets, and only the top 10 by count. If a make is unused, inactive, or lower in the ranking, it may not appear.
