# **Warranties and Service Plans**

Manage your warranties and service contracts from this grid. You have the option to export this grid as a CSV file. Information stored about your warranties and service contracts is located in the following segments on the grid:

- Fuel Site
- Equipment Name
- Type
- Warranty Name or #
- Warranty Type
- Billing Period
- Begin Date
- End Date
- Coverage
- Vendor
- Vendor Contract #
- Auto – renew
- Status
- Actions

## **Create Warranty / Service Plan**

Make sure the vendor is setup in EKOS before you start and add all of your vendors in EKOS which will streamline creating warranties later.

*Value points*

 Entering a warranty or service plan into EKOS is very valuable for several reasons.

1. Reminders – you can setup a reminder associated with the warranty and EKOS will email users when the warranty is due to expire
2. Service Orders: When a service ticket is created on a piece of equipment. EKOS can immediately look to see if the equipment is under warranty or have a service plan. If so, then EKOS can help a user quickly create a service order and dispatch it to the Vendor.

### *Step 1*

Choose the type, site and select the piece of equipment.

- Warranty type: Choose extended warranty, manufacturer warranty, or service contract
- Site: select a site and EKOS will show you all of the pieces of equipment that are at the site
- Site Equipment: After you select the piece of equipment, verify that it is the exact piece of equipment by looking at the details EKOS provides you on the right of the page.

### *Step 2*

Enter the vendor and details about the warranty. Select your vendor, enter the warranty name or #, and the coverage scope. In EKOS the coverage scope for a warranty or service contract aims to identify, at a high level, what is covered under the terms of the agreement. To help EKOS dispatch service orders four primary choices have been given (Parts only, Labor only, Parts and Labor, and Other). EKOS also provides a notes field if the user wants to further qualify what specifics are covered, plus EKOS allows users to upload documents for quick and precise reference.

### *Step 3*

Enter the vendor and details about the warranty. Enter the begin date, end date, select a period, enter the price, decide if you would like automatic renewal, and add notes to create your warranty.

## Warranty and Service Contract Management Overview

EKOS is helping users manage warranties and service plans for all equipment in their ecosystem. Warranties allow users to connect back to the distributor. If something goes wrong with any piece of equipment, EKOS will create a service ticket and users can immediately see if that piece of equipment is under warranty. Users can go straight from reporting a service order to dispatching it to a vendor.

## Create a Warranty or Service Contract

To create a warranty or service contract in EKOS go to the Fuel Sites Module > Service Repair > Create Warranty or Service Contract. Make sure the Vendor is setup in EKOS before you start and add all your vendors in EKOS which will streamline creating warranties later.

### *STEP 1*

Select a Warranty Type from the following options:

- Manufacturer Warranty: This type of warranty is provided directly by the manufacturer of the equipment at the time of purchase.
- Extended Coverage Plan: After the manufacturer warranty expires, the owner can typically buy an extended warranty or extended coverage plan. These warranties can be offered by 3<sup>rd</sup> parties in addition to the manufacturer and the scope of what is covered can differ from the original warranty.
- Service Contract: A service contract in EKOS is a type of contract between a vendor and an owner that covers the ongoing maintenance or servicing of the equipment. Service contracts can include onsite, help desk or online support. The scope of the service contract can range from covering parts only all the way to a full managed maintenance that covers everything to ensure business continuity.

Choose a site and EKOS will then populate the pieces of equipment that are at the site. You will then select which piece of equipment from the options provided. After you select the piece of equipment, verify that it is the exact piece of equipment by looking at the details EKOS provides you on the right, this will automatically populate with information about the equipment selected.

### *STEP 2*

Enter the Vendor and Details about the Warranty. First select a vendor and then enter in a warranty name that is easy for you to keep track of. Details about the Vendor will automatically populate upon selecting a Vendor.

Coverage Scope – In EKOS the coverage scope for a warranty or service contract aims to identify, at a high level, what is covered under the terms of the agreement. To help EKOS dispatch service orders 4 primary choices have been given (Parts Only, Labor Only, Parts and Labor, and Other). EKOS also provides a notes field if the user wants to further qualify what specifics are covered, EKOS also allows users to upload documents for quick and precise reference.

### *STEP 3*

Enter the Vendor and Details about the Warranty. Typically, these warranties last a full calendar year, so enter in the beginning and end date. Under period select Monthly, Quarterly, or Annually and enter in the price. You have the option to check automatic renewal if needed.

After filling in this information click create warranty, and you will be able to review this information under the grid view.

## Manage Warranties & Service Contracts 

Users can easily keep track of and manage warranties and service contracts from the grid view. This will show all warranty details and adds to the full spectrum of things EKOS tracks on a piece of equipment.

In this section, users will be able to see all their warranties and service contracts. This grid view lists the Fuel Site, Equipment Name and Type, Warranty Name and Type, Billing Period, Beginning and End Dates, Coverage, Vendor, Auto-Renew and Actions. All these sections are explained above when creating a warranty and service contract. You can easily filter these according to what is easiest and most convenient for you. You can easily view, update, and export any of the warranties to a CSV.

## Warranty View Page

EKOS now has a detailed view of your warranty and a place where you can upload documents and other digital artifacts. Users can enter warranties or service contracts tied to each piece of equipment they have in EKOS and upload those contract documents to store a digital copy in their EKOS cloud. This will display all active warranties, and days remaining on the active warranties uploaded.
